Recurring Invoicing

FAQs

Does SBCA also have a bank manager like in Xpress or Partner?

Yes, there is an Import function to import the Bank Statement similar to the Bank Manager. Even better, you can set up Bank Feeds, where transactions automatically “feed” from the bank and then you can just allocate accounts.

How does the inventory work?

Inventory works well, but there is no Back Order function or report.

Should I take advanced inventory if I have inventory?

The Advanced Inventory does not improve the processing of Inventory, it just expands on how the stock is processed in the GL in the background – with Advanced Inventory there will also be a Cost of Sales GL account, where without the module there will only be a Sales and Purchases account.

When should I migrate over to SBCA?

Should I rather do it at year end? – The migration can happen at any time – it’s done by an online conversion tool. The only limitation is that we must remove the 13th period function in Partner/Xpress before the backup is loaded for conversion.

Which data can be imported into SBCA?

Only “Masterfile” data, such as Customer, Supplier, and Inventory files – no financial information can be imported.

Can you do invoices on SBCA?

Yes, definitely. You can do invoices using GL accounts, Inventory items, or Inventory bundles.

Will I see all my transactions if I go over from Partner/Xpress to SBCA?

Transactions are converted for 2 financial years for free and before that there will be balances. If the client wants to transfer more years of transactions, there is an additional cost for the conversion.

Can it do everything Quickbooks does?

I would say yes, but we don’t know all the features of QuickBooks. We know SBCA very well and will help set up according to your needs.

Does it have a GL?

Yes, there is a standard list of GL accounts that are already set up, but you can also create your own GL accounts additionally.

Does it have journals?

Yes, there are journals for the GL. There are also Adjustments and Write-off functions for Customers & Suppliers, which makes the journal process much easier.

I need to print labels on stock. Can SBCA do that?

No, there is no report to print labels.

How do I send statements or detail ledgers for my clients from a time ago and have no history?

The balances will be there, but only 2 years of transactions. You can pay to convert additional years of transactions. Alternatively, keep the desktop version on a computer to pull these types of reports if needed – the desktop version does not need to be registered, it will be in View Only mode, which is right for printing reports.

I wanted to find out if Sage 1 supports the possibility, to import all Quotes & Invoices and Statements from the Online Program that’s called PAYPOD

There is an add-on you can purchase, Auto Entry. The purpose of Auto Entry is to scan documents in pdf format and then convert the information as transactions in SBCA. I’m sure Auto Entry will be able to do something similar with the transactions from PAYPOD.

Are there any other costs involved besides the subscription? Do I have to pay you for importing data

No extra costs for the conversion, not from our side either.

Our accountant is currently using Pastel Xpress, and we would like to migrate to the Sage cloud, on using the Sage cloud demo we found that the BI reporting is limited compared to the standalone desktop version of Pastel Express. Are we able to have a discussion on how we are able to retrieve similar report in the sage cloud before we do the migration?

The Intelligence reporting is available, but it is quite different from the desktop version and also very limited. The standard reports of SBCA are much more flexible in terms of dates/periods – for example, on the desktop, you can only choose a period, or from a period to a period; but in SBCA, you have options of Custom Dates, This Month, This Quarter, This Year, Life to Date.

If I have never worked on any accounting system, would I be able to figure SBCA out?

The program is very user-friendly and if you know accounting, you should be able to help yourself. We offer affordable training for R1200 Excl VAT for a 3-hour online session – not recording, it is interactive, and the client can ask questions.

Can SBCA handle warehouses?

No, there is no warehousing.  Sage has a recommended Third Party software.  Using warehousing usually entails making use of a Back Order system, which SBCA does not have. We would recommend thinking quite xxxx about using SBCA in this instance.

Is there a point-of-sale system included?

No, Check out Sage’s ISV website to find some suitable cloud POS solutions or speak to our sales team.
